Questionnaires actively involve business units in Controlled Self-Assessments. Conducted prior to the commencement of the audit process, effective questionnaires provide a platform for auditors to identify weaknesses within the organisation. Auditors can then place greater focus on these areas of concern during the audit process.
Pentana’s questionnaires module allows users to allocate queries to action owners. As the questionnaire is allocated to an individual, Pentana will automatically generate emails with auto-populated fields to each respondent. Through the use of a web browser, respondents can complete the questionnaire, results of which are converted into global risk scores, creating the platform of a risk based audit plan for the audit team to build their audit upon.
To facilitate the timely completion of questionnaires, Pentana will send email reminders to the respondents, as well as the nominated audit manager so that they can monitor and take action on individuals who have not completed their questionnaire.

The data visualisation of risk profiles allows users to present risk assessments to the audit committee using powerful graphics, heat maps, matrixes, colours and scores to better communicate the risks to shareholders. The risk map is flexible enough to be customised to the user’s needs.
The audit library allows for future audits to be based on previously completed audits, improving efficiency and creating standardisation.

The Resource Planning module helps manage a limited supply of resources in order to perform a defined population of jobs. While “resources” and “jobs” varies from organisation to organisation, the process of allocating resources to jobs in the form of bookings is common practice. As a resource management tool, this module allows users to schedule members to tasks based availability and expected time taken to complete the task. Further additions to the module are available skill selection and links to calendar, project management and email systems.
This module comes with a notes function which allows users to record descriptive information about the job and resources, to assist in resource planning process.
Audit Field Work

- Real time recording, tracking and update of findings
- Libraries that link audit steps, automating certain parts of the process
- Perform control self-assessments
The demand on auditors is ever increasing, with pressure on the team to do more with less. Pentana has a comprehensive array of templates, libraries, work papers and checklists to better facilitate the management of the audit field work tasks. Tasks of an audit can be conducted and recorded in real time, giving a constant up-to-date picture of the entire process for improved management.

- Promote improved communication amongst team
Market feedback has shown that it is now a greater stress on ad-hoc reporting from auditors, with a secondary challenge of communicating the findings in a meaningful way to the audit committee.
Pentana’s strength lies with quick, timely push button reporting. Pentana was designed by auditors who aim to improve the reporting in the industry. The key aim of Pentana’s reporting function is to help facilitate better communication between the audit team and the audit committee.
Users can slice and dice data to create comprehensive reports in any type – canned report, instant Excel reports, graphical reports and comparative reports.
Since data is readily available in one database, auditors can extract their own reports and will not have to rely on IT to build reports, allowing auditors to spend less time gathering information so they can focus more on analysing and adding value.
